Introduction to NestForms: A step-by-step guide

 

First create your form #

NestForms is designed to be user-friendly, allowing you to build a new form quickly and efficiently with just a few clicks. Whether you're creating a simple checklist or a detailed report, the intuitive interface ensures you can get started with ease.

    • During the introduction, a guide box will lead you through the process, allowing you to click directly to Create a new form and get started right away.      
    • Normally you would start through the Forms list page, mouseover Create a new form and click to Start with a blank form.
    • You can also click to Import a Template, however, we recommend you Start with a blank form first just to see how the process works. Later on you might wish to import one of the templates. They are very useful when you want to create a standardised form.
 

Add some components to start and save the form #

There are many components to choose from. To make life easy for you, we will focus only on the main ones when getting started. Learn more about the many other components you can use within your forms. We suggest adding a small number of components when creating your first form. Keep it simple! You can expand on this later.

  • Make sure to add a title to your new form by clicking on the New Form title text. 
  • Drag the components from the left panel into the right section of the blank form.
  • If required, you can Add a new section and repeat the drag and drop process, but this is not required for testing your first form.
  • Finished your form? Hover over the blue Save circle on the bottom right.

You can Save the form in one go or Save and stay to carry on working on it.

 

Test this form in either your Android or iOS device #

Testing your form before sharing it with responders is crucial to ensure it works as intended. By testing your form, you can check for errors, verify the flow, and confirm that all required fields and components function properly. This step helps avoid confusion or incomplete responses when the form is live.

  • Download the NestForms app (either on your Android or iOS device) from your appropriate app store. You can also scan a QR code that will be displayed on your intro screen.
  • Android and iOS devices are recommended for testing and everyday usage. It's possible, however, to test your first form through your web account if required.
  • Login to the app with your username (email address) and password.
  • You will see the form you have created earlier, click on it and fill your first response.
  • Once you press finish the response is automatically uploaded to the web account where you can review the data. 
 

Update the form to meet your needs #

Now that you know how the main process works, you can finetune your form. If you have made any changes to the form on the website form builder, make sure to test them again in the app.

  • Check any component title text and update if necessary.
  • Look for any omissions.
  • Do you need to add additional components?
  • Does the form flow feel appropriate? You might want to use skip logic to temporarily hide some questions.

There are other features that you might want to try (or consider for later) - adding images, calculations, autocapture fields, cloning sections and many more.

 

Add your responders into your Relations #

Now that your form is working as intended, the next step is to add your responders in the Relations page. This ensures that the people filling out your form (responders) are correctly assigned and can access it seamlessly. By managing your responders through the Relations section, you can easily organise who has access to specific forms, track their submissions, and maintain control over your data collection process. 

  • Add your responders into your Relations.
  • You can Invite Friends via email within NestForms. A prewritten email containing their login details and links to the Android or iOS app is provided.
  • Once they receive the invitation email they will need to login to the app using these details.
 

Share the form with your new Relations #

Now that your form is ready, it’s time to share it with your designated responder or group of responders. By assigning the form through the Relations page, you can control exactly who receives it and ensure they have access. Whether you're sharing with an individual or a team, this step ensures that everyone can begin filling out the form immediately through their NestForms app. Sharing forms is simple and efficient. 

  • Once you have added a new relation you will see the message with the option to share the form.
  • They will also appear within your Relations page on the My Friends tab and when you mouseover them, and click to the edit members forms icon, you can set the form sharing with them.
  • This is the standard approach when you edit the form. Open the form builder:
    • You’ll see a button to Share the form with your responders just above the component grid on the left.
    • You can select one or multiple Relations
    • Just click Done and Save the form and your form will be shared to your responder devices.
 

Collecting your responses #

Responses can be filled out in real-time, even offline if necessary, ensuring seamless data collection regardless of location. Once completed, the responses are automatically synced to your account, allowing you to review, analyse, and act on the data without delays. 

  • Your responders will now be able to complete the forms within their app. We call these Responses.
  • All of their responses will land into your web account.
  • You are able to Approve or for whatever reason, reject or Delete a response. 
  • You can find all responses in the Form Responses page, the tab sits beside the builder on the top rights.
  • And you're done! Watch the responses flow into your web account!

There are many other features you might want to check out starting with exporting data to PDF, Custom PDF, Word, or Excel format. 

You might also wish to export to Google Sheets, Dropbox or Microsoft OneDrive or SharePoint cloud services. You can also learn about setting up VIP access for your clients as well as setting triggers to automatically receive response notifications.
